Invitation Letter Guide

Explain the purpose and context of a visit.

Include the useful facts

Identify the host, guest, relationship or business connection, purpose and intended dates. Include relevant contact information and state where the guest plans to stay if known.

Be clear about expenses

Specify which costs the host will cover and which the traveller will pay. Avoid broad promises that cannot be supported. Match the letter to the accommodation and financial evidence in the file.

Use genuine, specific language

Describe the real event or reason for the visit. A simple factual letter is more useful than an exaggerated template. The host should review and approve it before it is submitted.

Check formal requirements

An invitation is not a guarantee of a visa. Some routes use a formal invitation procedure or specified format. Confirm the official instructions and add only the supporting documents requested.

This is general preparation guidance. The official instructions for your destination and route determine the evidence and procedure required.
